The Confederation of Asian and Pacific Accountants (CAPA) is strongly committed to protecting personal data. We respect and value the privacy of all parties we interact with. This privacy statement provides an overview of how and why we collect, use and process personal data. We believe in making safe and ethical use of the information that is provided, whether offline or online, and may use personal data provided to us for the purposes as described in this privacy statement including in ways that are consistent with our obligations and/or as otherwise stated at the point of collection.
As used in this statement, “CAPA”, “us”, “we” and “our” refers to the regional organisation representing national professional accountancy organisations (PAOs) in Asia and the Pacific. CAPA is incorporated in Hong Kong as a company limited by guarantee, operating from a regional office in Malaysia.
Please be aware that by providing us with your personal data or continuing to communicate with CAPA, we shall regard that you have consented to the processing of such data.
1. What Personal Data Do We Collect?
In this privacy statement, we refer to information about you or information that identifies you, either directly or indirectly, such as your name or your contact information as “personal data” or “personal information”.
Depending on your relationship with us, we may collect information such as, but not limited to, the following personal data:

- Email address
- Phone numbers
- Employment information (e.g. designations, employer)
- Memberships information (in PAOs/stakeholders) including activities such as service on board and committees
2. How Do We Collect Personal Data?
The personal data we collect differs depending on your interaction with us and may be collected, inter alia, through our website, emails, periodic updates, registration for events, attendance at conferences, surveys and/or any other activity organised, endorsed or sponsored by CAPA through which personal information is provided to us and/or from the cookies on CAPA’s official website.
We may also collect data about you and update any existing personal data that we currently hold from other third-party sources, including data sources in the public domain such as social media or networking platforms/sites (e.g. LinkedIn), other PAO or stakeholder websites/documents.
3. For What Purpose Do We Use Your Personal Data?
We collect and process personal data to deliver on our mandate, obligations, contracts and/or where consent is given.
We may use your personal data for:
- Member or stakeholder related communication or administration which includes, but is not limited to, the following:
- Call for nominations to the board, committees or other working groups
- Seeking your views or comments on the activities we undertake (e.g. voluntary surveys, comments on write ups, submission of case studies)
- Sending you communications that you requested and/or that may be of interest to you (these may include our meeting reports, information about our activities)
- Logistical arrangements (e.g. travel and accommodation bookings/coordination and/or cost reimbursements)
- Supplier/Vendor communication or administration
- Public relations purposes
- Information sharing purposes (e.g. thought leadership and other publications)
- Management and analysis of our sites and/or social media channels
- Research and statistical purposes
- Employment or contractual appointments
- Compliance with our legal obligations
- Any other purpose that are incidental or ancillary to any of the above purposes
4. How Do We Protect Your Data?
CAPA has implemented generally accepted standards of operational and technological security safeguards, as is reasonable in the circumstances, to protect personal data under our control from loss, misuse, malicious activities or theft, alteration, unauthorised access and/or destruction. Only the Secretariat is provided access to personal data. The data is only shared with third-parties when absolutely necessary in accordance with note 6 of this privacy statement. Adherence to a duty of confidentiality is required of such persons as indicated in our Governance and Policy manual.
While we use security measures and endeavour to protect personal information, please be aware that the nature of online security risks is constantly evolving and the complete security of any personal data we collect, store or use cannot be guaranteed. The transmission of data over the internet including by emails is never completely secure and we cannot guarantee the security of the data transmitted to or by us. In the unlikely event of a security compromise, we are not responsible for any direct or indirect damages related to such use or dissemination of your personal data.
5. How Long Will You Keep My Personal Data?
CAPA will retain your personal data as long as it is necessary and expedient for the fulfilment of the purposes as stated in this statement and to the extent permitted by applicable laws.
6. Do You Share My Personal Data With Third-Parties?
We only share personal data with third-parties when absolutely necessary for the purposes for which we hold it, to conform to legal requirements or comply with legal process, to protect and defend the rights or property of CAPA or to act to protect the interest of CAPA member organisations or others.
7. How Can I Control My Personal Data?
You are entitled to request details of, update or request to correct the personal information we hold about you, subject to any legal prohibition. If at any time you would like CAPA to erase, rectify or restrict the processing of your personal information or withdraw your consent to processing, please contact us using the contact information listed below.
We strive to provide you with relevant information related to our organisation, the profession and industry. You can update your communication preference. If you are in receipt of or have registered for any CAPA related updates or communications and do not wish to receive future correspondences, please notify us of this request at the contact details below.

We reserve the right to update and modify this privacy statement from time to time by publishing an updated version of this statement on our website. The date of the revision, modification or last update is indicated at the top of this page. Such updates, revisions or modifications are effective upon the revision date.
